Hando

For ServiceM8 + Xero

The missing half of ServiceM8, for trades that run subbies.

ServiceM8 runs your jobs and Xero runs your money. Hando fills the gaps between them that we hit every week running our own painting and cleaning business on exactly that stack.

ServiceM8

Jobs, customers, your staff's schedule

Xero

Bills, payments, the books

WhatsApp

Briefs, POs and dates to subbies

n8n

The hand-offs, on automations you own

Six gaps we fixed for ourselves

Subcontractors live outside the job

ServiceM8 is built around your own staff. Subbie quotes, purchase orders, compliance and invoices end up in WhatsApp and email.

Brief, quote, e-signed PO, progress, defects and invoice for every subbie — linked to the ServiceM8 job.

Deposits make jobs look unprofitable

A partial invoice adds a negative line, so the job total shows the remaining balance, not the contract value. GP reads far lower than it is.

Revenue rebuilt from the job's lines with deposits added back — genuine discounts and credits still count.

Room scans sit unused

The room scans your team captures in the ServiceM8 app contain the walls, doors and windows — but no floor plan you can quote from.

Every scan turned into a squared-up floor plan with areas, right on the job.

Subbie bills get retyped into Xero

Someone reads the invoice, checks it against what was agreed, and types it in. Mistakes and double payments follow.

Invoice checked against the PO and variations, then drafted as a bill in Xero with the job reference.

Subbies aren't on the schedule

ServiceM8 schedules your own staff. The builder's dates for a subbie get written down somewhere and passed on by text — or not.

Dates sent to the subbie to confirm on their phone, clashes flagged, and a reminder the day before.

The weekly numbers take a spreadsheet

Revenue in ServiceM8, costs in Xero, and nobody has time on Friday to join them up.

An automatic Friday report with GP per completed job and the ones under your floor.

How does it connect?

Through a ServiceM8 add-on you approve in your own account, with read access to jobs, customers, attachments and notes, and permission to add job materials. Xero connects with its standard sign-in and only creates draft bills for you to approve.

Does ServiceM8 stay the source of truth?

Yes. Jobs, customers and scheduling stay in ServiceM8, money stays in Xero. Hando reads from them and fills the gaps; it doesn't replace either.

Can I try it first?

Book a walkthrough and we'll show you the portal running on real-looking jobs, then confirm what your setup needs before you commit.
